How I’m Using the Manus AI Agent in My Business
Are you curious how the Manus AI agent can actually support your business without creating more work for you? In this episode of Run Your Private Practice with AI, I’m sharing exactly how I’m using the Manus AI agent as my behind-the-scenes business brain, what’s working beautifully, what completely failed with another tool, and how this one is saving me hours every single week.
I’ll walk you through the real automations I’ve set up, how I connected it to my core platforms, and even how it called me out on my own business habits. If you’ve been wondering whether an AI agent is worth it for your private practice, this episode will give you an honest look.

[00:00:00] Hey everybody. Welcome back to another episode of Run Your Private Practice with ai. Last week I was obsessed with Claude. I was so excited, right? It got released for the pc, the Claude Co-work where you could work on your computer and have it do all this stuff. I spent probably like six hours setting up all these automations.
[00:00:18] It was like, yes, I’ve got you. I’m gonna run these every day, blah, blah, blah. Literally the next day I went back to every single one of those threads and I was like, first of all, where’s the thing you’re supposed to be running for me? And literally I got like an error message on the back end of it that basically was just saying like thread has expired.
[00:00:36] None of the threads I set up worked. And you know, I’ve been doing some research and people are saying basically like the PC version has been malfunctioning for a lot of people, so I’m hoping that’s what it is. I even upgraded to the $200 plan because I was so excited. I was like, I’m gonna use this for like.
[00:00:51] Everything I do. And then I promptly downgraded back. So I paid $200 for nothing at this point. I mean, I’m hoping it’s gonna get a lot better. Of course, I need to do more research to figure out, you know, is it just something I’m not doing right? ’cause that is entirely possible that, you know, I just put the information in wrong. But it’s pretty straightforward. So I don’t know. A little upset about that.
[00:01:12] However, shortly after I had that realization, guess what, Manus, you guys have heard me talk about Manus. I’m gonna put a link down under this video. Released their own agent. Okay, now you guys know I’ve talked about Manus being the, be the, it is the best in my opinion.
[00:01:30] Meta just bought it, so you know, it must be pretty good. They released their agent and I am totally. Blown away by this thing. I know I say that all the time. You guys are like, Kim, you think everything’s awesome? But this is incredible. So you go to Manus and in the top corner. If you don’t see it, log out, log back in.
[00:01:47] I had to do that. You go up to the top corner and there’s a new top tab up there that says agent. So you go, you click on agent and it prompts you to download Telegram on your device and on your phone, and then you like do a QR code and it like connects to your manness and everything. Basically you talk to this thing like you went on WhatsApp.
[00:02:07] I think they’ll be releasing WhatsApp and some other messaging platforms for it later, but right now it’s telegram. So you come in and just start talking to it basically. And everything I mentioned last week that I was gonna do with cowork, I actually have done with Manus and it’s working for me amazingly well.
[00:02:26] I think I might have mentioned that I have this workflow with my podcast that every time I have a podcast on my schedule I’ve got, there’s like a five step process. I have to go find the form, the interview, I have to take that, I have to go plug it into like an AI to help me think of good interview questions and all that stuff.
[00:02:42] So I hate that ’cause it’s like back and forth, back and forth, copy paste and all this stuff. So that was the first one I went and set up because I did that on Claude and I swore it worked, but it didn’t. So I set that up and basically all the Manus agent wants is an API connection to most of the things that I use.
[00:02:59] So like JotForm has an API connection my fathom recorder. I’m trying to think what else. my Facebook, all of those things that I use all the time I went to it. And basically almost all of these places you can find what they call an API, which is like a special code that you generate in the program that you’re using and you take that API over and you plug it into something else.
[00:03:21] So it’s a way for the other thing to communicate with the first thing. So, you know, for this podcast thing, it was like, I need your jot form. API, I need to connect to your Outlook email, which it is, it’s connect. I’m looking at it right now. It’s connected to my outlook.
[00:03:35] All my podcast interviews are scheduled through my Calendly. For some reason. It can’t read my Outlook calendar yet. Gmail, people that use the Gmail suite, it can do everything in there. It’s like. The bomb in there. I’ve been playing with it in there too, but my calendar’s over on Outlook.
[00:03:49] So it said it couldn’t see my calendar, but it could access my Calendly where people schedule with me, it could see it. So I basically gave it that API, so it had all of those and it calculated a little formula and it came back and it said, okay, you’re set up. So every morning, Tuesday, Wednesdays and Thursdays, every other week is when I do these.
[00:04:07] I’m going to go in at 7:00 AM pull the form, run it through your special podcast formula. I gave it my formula, and then I’m gonna give you a report so you know all the questions you need to ask for the people in your interview. Now it’s working perfectly. However, something I always talk about with AI is.
[00:04:25] It hallucinates, right? It makes things up. Like if it doesn’t have all the information, it thinks it’s being helpful, so it’ll interject information That’s not true. I make the mistake over and over of just kind of like blindly going with what it says. So I was literally in my like third podcast interview for the day yesterday, and I’ve got this pretty bio that’s all written up that Manus wrote it for me and it’s talking about this woman I’m interviewing that she has a podcast.
[00:04:53] Chat with Chris or something like that. Couch talk with Chris. And I’m like, okay, that’s cool. So I’m reading the bio to her. I always read it beforehand. I’m like, is this right? I just wanna make sure it sounds right. And she’s like I don’t have a podcast. I’m not an LPC. So I went back and compared it to the bio she gave me.
[00:05:09] And it totally just like made up that information. So I went back into it and said hello. Thank you for everything you do, but you made a huge mistake. You interject an information here that wasn’t true. And I, you know, was talking about it with the guest and it made me look really unprofessional or whatever, and it was like, oh my God.
[00:05:27] You know, it was like following every resolve. I’m so sorry, Kim. It’ll never happen again. New rule, new parameters, and it like calculated came back and said, you know, I’m never gonna interject anything that I can’t get off the form that I’ve already created for you, the jot form that’s already been created.
[00:05:41] I’m gonna take it straight from there and only make questions based on that content. I was like, good. So I have three today and it already gave me my report this morning without me asking. It just shows up in my inbox, like a written report that I can click on and just read right in my inbox. So we’ll see how it does today.
[00:05:56] I did do my due diligence this morning and went back and read it. Just to make sure now some other things I had to do. I really want my agent to act as like my business brain, so I spent some time over the weekend setting this up to be my business brain, this agent. So what I did is I first connected it to Fathom, that’s like my note recorder.
[00:06:19] And that’s where every week I meet with my online business manager, Christina, my virtual assistant, Leslie. Sometimes other team members will come, podcast editor or a social media expert that I just hired, or the meta ads person, you know, they might pop in, but usually it’s just the three of us. And I basically gave it the Fathom API and I said, I want you to connect to Fathom.
[00:06:42] And every Wednesday, I think I told it around, I don’t know, 1230, I want you to go and pull the transcript from Fathom so you can stay on top of what we’re doing in my business. Stay on top of all the changes in everything going on. And then I told her some problems that I was having them in my business.
[00:07:00] Like I have this one course that. It’s crazy. It should be selling like hot cakes. Like it doesn’t make sense. I’ve changed the copy, all this stuff, but there’s an abandoned cart issue like every day I’m seeing like somebody got to the checkout cart, but they abandoned it and didn’t check out essentially.
[00:07:14] So I get a notification when that happens. So. I put that in and I also gave it like the last five meetings that I had, and basically it gave me a lot of really good feedback. So it took transcript, it took the banner cart information. I connected it to Kartra, like my membership platform, so I could see all the statistics and everything.
[00:07:33] I even uploaded bank statements, which some of you might not feel comfortable doing that. I’m, I don’t know, I’m risk averse or something, but I went and uploaded them so it had that full picture so it could see how much money’s coming in. And then also Christina keeps analytics for me weekly. So the analytics came in the Kartra, the Fathom meeting, the bank statements.
[00:07:52] I gave it my brand guide so it knows everything about me. All of that information comes into this agent now. So it literally knows all of that. And then every week when we have a meeting, it updates it. So it gave me some great feedback about the abandoned cart. It was able to go look at the, the page and give me feedback about that.
[00:08:11] And basically, you know, there’s tweaks you could do. If anybody here listening it is into like scaling your practice or anything like that, you know that there’s. Things you need to do, you need, you need to look at the analytics. You need to look at where the funnel’s getting stopped and right. For right now, it happens to be that checkout cart.
[00:08:26] So the AI was like, oh, you’ve got so many testimonials. Why don’t you put a bunch of testimonials on that page? Or, you know, explaining plain language like what the transformation is that they’re gonna get. Because something at that point, they’re not wanting to press the button to buy. And it doesn’t seem to be price.
[00:08:43] We analyze that because price, I mean, people pay for stuff like this all the time, so there’s some disconnect. So it was helping me figure out what the disconnect was, which is gold. I mean, it’s so valuable than just being in my own head, just trying to figure it out because one, I never look at the numbers.
[00:08:57] I never look at like. You know, where’s the funnel stopping? Like, what are the stats to help me make informed decisions? I’m really bad about that. So I was telling the AI that, I was like, I’m terrible with this stuff. And it went back and it was like, yeah, I just read like the notes from like your last five meetings and you are really bad at that.
[00:09:14] And it was like, the other thing you do is when you get a great idea, you tell your team you’ve got a great idea and you basically make the whole team pivot to, go work on that instead. So I’ve got all this stuff that I’m so excited about and then it’s like ADD brain. I basically just like, oh, guess what I did this week?
[00:09:30] I made this new app and I wanna sell it and I’ve got a, you know, a workflow and all this stuff, and we can send out these emails. I already wrote them and I get so excited. But basically the pattern, it’s over time from my meeting notes, is that I always do that. Like literally we come in with a plan, we talk a little bit about it, and then I’m like, Hey, guess what?
[00:09:48] And then I totally pivot like. I don’t know, it’s just an issue I have. I’m working on it. I realize it, and the AI even called me out on it based on being like my brain, my business brain that’s trying to help me. So that was super helpful. Yesterday we had a meeting and talked about all of that and got a really solid plan on place to get back on track with the stuff that already works, like the stuff that already sells, all of that.
[00:10:11] So, we’re regrouping and the AI helped me do that, I guess is what I’m saying. Other things. This thing is helping me with basically, it, it’s amazing how quickly you just like integrate the stuff in when it’s really helpful. So I’m like talking to it just about everything I’m doing. I had a coaching call yesterday, and she wants to build this really, she’s a therapist, but she wants to scale and she wants to build this really cool product.
[00:10:34] And I was, and she’s like, I guess I’m gonna have to hire somebody to help me build the product. And I’m like, Manus can build us a prototype for this. I know it can. So literally all I did was take the transcript from our coaching session, put it into Manus. put it into the agent, not even Manus. I just put it into the agent.
[00:10:51] I said, this is a coaching session I just had. How can you help me with this? it basically wrote up a prototype of the thing we’re trying to create. It’s like, this is your prototype, and literally we could take this and put it into mass production. Right now, the way it looks, it’s perfect. It’s everything she talked about in the meeting that she wanted on this product.
[00:11:10] And it, it, it’s an exact Prototype, we just had to figure out how to put it into production. And then she had a good point. She was like, yeah, but will it like duplicate more? Like if we wanna do more, will it keep the same like images and ideas? And I’m like, I don’t know. We’ll have to see about that.
[00:11:25] But that’s just the ways I’ve used it this week. Like Claude Cowork for me is in the trash right now until it can improve, until I can figure out what I’m doing wrong with it. But this. Is working. Yeah, I mean, I’ve given an access to what else? my Outlook calendar, my jot form, my fathom. I had, it helped me do a, make automation yesterday.
[00:11:45] I don’t know if you guys know what make is. It’s kind of like Zapier, but it’s a little bit, it’s just a cooler way that it does it. So it was helping me with a make automation. What else did it do? Oh, Harrow. So, harrow is help a reporter out. I don’t know if you guys ever do this, but it’s a way to get like publicity, right?
[00:12:02] It’s a way to like answer questions for reporters and they’ll put you in their articles. They’ll quote you, they’ll back link to your website. So every day I get three harrow requests in my inbox, morning, afternoon, and dinner. And they’re all these reporters, just a lot of reporters looking for therapist quotes on things, technology, AI stuff.
[00:12:20] So I told it to go to my Outlook email three times a day, pull the Harrow request. And let me back up for a second. Another thing I did before I even told it to do this, I went to Manus plain old Manus and I did a deep research on what is the perfect pitch to a reporter to get your. You know, publication published your pitch published in publications.
[00:12:44] So I had this deep research report, I think it was like 45 pages long downloaded that went back. I said, I want you to take all the heroes outta my inbox every day. I want you to scan it, compare it to my brand guide. Here’s my brand guide again, in case you forgot, here’s the perfect pitch formula you wanna get published.
[00:12:59] I gave it those two things. Guess what? Three times a day it is going and pulling hero and it’s matching to opportunities that match my brand guide that I would be a good fit for. And then guess what? It’s writing the entire pitch. Based on the perfect pitch guide that I gave it, they’re amazing.
[00:13:18] They’re perfect. There’s an occasional M dash, so I like said, make sure you take the M dashes out so it doesn’t look like AI wrote it. It sends me a report three times a day, and you could tweak this however you wanted to. Sends me the report. I open the report up And go in and it’s basically like these are the pitches that are the best fit.
[00:13:34] It gives me a little chart, it tells me why it’s the best fit. Then it gives me the replies, and then it says, do you want me to send them? I’m like yeah, they all look pretty good to me. And so I’m like, yeah, send 1, 2, 5, and six. It literally goes back to my email and sends them out to the reporters.
[00:13:49] So I’m not doing any of that and I really could automate that final step where like, I fact check what it’s writing. But I’m not gonna do that because you just never know. But yeah, I used to see Hero every day and be like, oh, I really should look at that and see if there’s anything I, you know, I could like be an expert on and send it out. I don’t ever do it because I don’t have time.
[00:14:08] This totally does it for me. And I even asked that AI was like, do you think this is worth it for me to do this? And it was like. Absolutely. If I’m doing it for you, if you were doing it, this would take you about three hours a day to be able to find these, write the pitches and respond. But if I’m doing it, it takes me about 30 seconds.
[00:14:23] And yes, you should definitely do it for, you know, back links to get quoted, you know, credibility in the world, like all it listed, a bunch of reasons. So. Manus Manus agent. Highly recommended, very excited about it. Don’t know what else is is gonna come. I know Open AI just bought Open Claw, which is also one I talked about last week, which is similar, but even fancier I think, because it can access your entire computer and files and all of that stuff.
[00:14:49] So yeah, the world. Crazy AI is just insane. So try it, try the Manus. I’m gonna put a link down below. If you click my link, I get like 500 credits and I use a lot of credits on there. So check it out. Let me know what you think. Talk to you later. Bye.
