Struggling with setting up your private practice and feeling a bit paralyzed in decision-making? You’re not alone.
In this episode of “Ask Me Anything AI” podcast, sponsored by Berries, I tackled your burning questions. Whether it’s the daily challenges of integrating AI into your practices or nuanced questions about running your private practice, I’ve got you covered.
Neely had some fantastic questions this week about the differences between the paid and free versions of ChatGPT, and we dove deep into how AI can streamline everything from creating logos with DALL-E, to private practice paperwork. If you’re curious about using AI to save time and reduce stress, feel free to drop by our sessions by joining the free Run Your Private Practice Facebook Group.

Hey, everybody here for Ask me anything. A, I sponsored by berries. B, E, R, R, I, E, S, dot, ICU slash therapist. Every single week, I just pop in here to see if anybody has any questions. People ask me all the time, what are the differences between the paid version of chat, G, P, T, and the free version, should I pay for the paid version? If I will, too, I get more benefits. So I probably would have answered this differently about maybe three or four months ago, but the free version is they’re really getting a lot of the same features. Really. The only thing I can see right now that you can’t do is build your own GPT, which is a super helpful tool. I’ve talked about that before in these Ask Me Anything, AIS, and I could talk a little bit more about it right now. Gpts are the wave of the future, in my opinion, but that’s the only thing that right now I can see, would be the differences. And I put an announcement yesterday just talking about Dall e i don’t know if you guys know about Dali, but it’s basically chat, G, P, t’s way to draw pictures for you. So you can give it prompts, and it’ll draw pictures for you, and then you can go in edit those pictures. So I put a couple of marketing Mondays in here, just some little prompts and things to do, and one of dad and Bob Dolly, which used to only be available in the paid version. But then I put an announcement yesterday that they’re rolling out a beta for everybody, even the free versions of chatgpt, to be able to use two dolly prompts per day. I think it’s integrated into chatgpt, so it’s D, A, L, L, hyphen, E, Dolly. And up until yesterday when they made this announcement. It had been something you could only do in the paid version of chatgpt. But what you can do is take a prompt, and you could say, I run a therapist practice. And you could put a prompt in basically around like your brand, so if you’re selling products or your private practice, you could say, I’m a therapist. I specialize in EMDR. This is my private practice. The name of it is blossoming intentions or something, if the name of my private practice, we serve people that have PTSD and long term chronic trauma that they’re dealing with, right? So you give it really specific details, you could say what I really need is a new logo for my private practice, and Dall E will go in and draw a new logo for you. Basically, you tell it, you give it those prompts, and it’s going to draw you a really cool logo. And then, if you have GPT is enabled, you can search a GPT. You can search the Canva GPT, free version. It’ll give you ideas of what to go over into Canva to create it. But now that you’ve got dolly access, it’s going to draw it for you. So you can literally download the dry take it over to Canva and put it into you know, they they customize the different sizes. Take it over there, pop it in, and it’s going to let you edit it further. Once you put it in Canva, you can put overlays. You could change things around. You could change colors. You could do all that also in chatgpt with the dolly. If you click the picture, they now have the screen that opens up, and they let you do a little bit of the editing in there. So you can highlight an area, you can give it a prompt, and you could say, I really don’t like this color. Can you make it a different blue? Or here’s the hex code that I use for my private practice branding. You could put that in there and it’ll edit it and change it for you. So it’s still not great, I have to admit that, but it’s getting better and better every day, and if you have a really good prompt in there, it can put out some pretty good pictures. I’ve used quite a few of the pictures that it created for some webinars I did. So I did one around I hosted Addie Wayland. I don’t know if you guys know her, but she teaches about how to have a digital nomad family. We did a webinar, and I told chatgpt to draw that for me. It came up with this really cool logo for it. We put it on the sales page and everything for that, how to become a digital nomad, traveling family, traveling therapist family. That was really cool. Let’s see. I see some comments over here. Let’s see Neely says, Kim, thank you for taking time to share great information with us. It means a lot to solve this building from the ground up. Oh, you’re so welcome. I’m so glad. I hope this group is helping you. Have you been using AI Neely? Just curious like how you’re using it and how it’s helping you in your your practice already, and if you’re not, let me know if you have questions, it’ll help you in the clinical AI club. Of course, every month I release a new module, a very detailed module on how to do different things with AI. There’s anything I can help you with Neely. Let me know. Let’s see. I did use it to create my bio for headway in Tabak. Awesome. Yep, I wish I could remember the prompt I use, but I’m a partner with zencare. I don’t know if you guys know that them, they’re, they’re another directory that helps therapists get clients. And I put in some chat TPT prompts for that. So they tell you they want a certain character amount. So I would say, yes, create this, but also we want it to be 250 characters this part of the bio. And you know, it will you.
Get it right to the word count, which is pretty amazing to me. Okay? And Neely says I’m working several 1090 nines, but like to get away from those and do more myself. Oh, I see, yeah. Well, let me know if I can help you with that too. Are you private pay or insurance based? Because we all know that headway and taga and Alma, all of those companies are there ways to be paneled with the insurance companies, but not really be paneled with the insurance companies. So I’m wondering, Neely, if you’re getting ready to move into that process of trying to credential yourself, if you’re already on insurance panels through headway and tava, I think tava does insurance too,
yeah, let me know if you need help, because I do have another membership called bill like a boss, and I have a directory too that can help you with finding billers and credentialers if you need that in the AI club, I did create a free GPT. Let me give it to you. Let me go get it for you. For private practice paperwork. I don’t know if you tried to do your paperwork already for your private practice, but I created a free GPT. So what I was saying in the beginning is gpts. You can make these gpts, and you can make them public to the world if you want to. And I’ve created some for private practice. I want to give you this one private practice template creator for paperwork. It’s something you create. You can train it. It’s connected to chatgpt, but you can make very specific parameters around how you want the GPT to behave. So this one is what I created. I initially created it for the clinical AI cloud, but then I made a public so what that means is you can click this link, I just dropped it here, and it’s going to act as a healthcare attorney, and it already knows about private practices in therapists, in the US and the type of paperwork we need. HIPAA compliance, all that, I’ve trained it on, all that. So now, if you’re starting a private practice like Neely says she’s moving from these 1090 nines, and she’s probably going to need a lot of paperwork, you can use this link that I just dropped here and go in there and tell it to create different paperworks for you an informed consent, and an informed consent for AI, an admission paperwork. If you’re an insurance based provider, at tell it to come up with an insurance based provider contract to let them know anything that the client needs to know about being insurance based that they’re responsible for, as far as co pays, deductibles, understanding their own benefits. You’re not going to be held liable if their insurance stops paying for some reason, or they lose eligibility with their insurance. You can ask this GPT to write the paperwork for you, and it’s going to do it like a healthcare attorney would. So it’s pretty cool. But then I tell people, once it creates it, say, now put that into a template for me that I can copy and paste into my own private practice, but I had little disclaimer. Obviously, chatgpt is not a real lawyer, so any paperwork that it creates, I would always say, have it checked out by healthcare attorney to make sure it’s including everything that you need to include for your state and that sort of thing. But I’ve already trained it on the prompts and everything, so that should give you a little shortcut there. Neely, I hope that helps. And this is part of the free version of chatgpt. So if somebody gives you a GPT link, you can click it usually, and just go use it over in chatgpt. It should open your chatgpt right up for you. So I hope that helps. Neely says I’m stuck, really, almost paralyzed, and haven’t moved forward beyond obtaining my PLLC, I’m ignorant about website creation. I’ve been giving wildly different quotes. I fret I’ll choose the wrong EMR. I can’t afford a $6,000 coach, but could afford to pay someone along the way for coaching, but haven’t found someone that would allow a payment plan. I hear you, okay, well, I have paper plans if you’ve ever want to work with me. I’m happy to help you with this. There’s tons of coaches out there. I know there really are. I know it’s all scary. It really is. I appreciate you sharing. I don’t know if you know about owl practice, but I do have a coupon. I can give you that six months half off. They’re really good. EHR, people love simple practice. I think you want to just look for things around if you’re going to bring in other employees. Simple practice can be kind of pricey if you’re going to start putting different clinicians on there. Do you want to be a group practice owner? Do you want to be just a single therapist that just sees clients? There are lots of different ways to go with it. So I think really figuring out what your plans for the future are will also dictate your EHR. And this is something chat. TPT can help you with too. You can type in exactly what you just gave me. You could put that into chatgpt. You can tell a little bit about yourself, exactly what you just wrote, copy, paste it into chatgpt, and let it help coach you a little bit. You could talk to it just like you would a friend or a coach, and it can give you a little bit of direction, and it’s free. And the EMR thing. Even you could take the links from, let’s say, simple practice, from owl practice, from a couple other EHRs that you might be thinking of sessions health is another one. People like therapy notes, pull those links and put them in to chatgpt and say these are the three EHRs that I’m considering I want you to analyze.
Their sales pages and highlight everything that they offer, features wise. And then I’m going to tell you about my private practice of what I’m looking for. Can you recommend which EHR would be best for me? That’s one way to do it. Put all that information and see what it comes up with for you. And worst case scenario, you don’t like the EMR and you have to move to a different one. A lot of them have services. Will they’re they’ll port you over. But you really can’t go wrong with those four that I just talked about, our practice suite, which is one that in a partnership with I help them develop their insurance program. They just released brand new insurance program. You could check that, and they have a coupon code, if you go to my page, for six months, half off, and you could try it out and see if you like them. Owl practice.com/there/kim,
Tolson should take you there. You could try that. Or, you know, all of them have free trials, so you could log in, and you could just go in and get a feel and see which one feels the most intuitive to you, because they all are a little bit different this owl practice link that I just put right above that’s an EHR you might like. It’s pretty affordable. It’s 70% cheaper than most EHRs out there, just telling everybody it’s really good. So you can check them out, just to get you started, because that’s the scary part. I know. It’s just like making the decisions around which products to use and what to be committed to and all that stuff. I totally get it. I don’t know if cost matters, but they are really affordable. And like I said, I help them develop their insurance program. So if you’re going to be taking insurance, they’re a pretty good one. So for AI it’s the clinical AI club. Way to drop that clinical AI club.com
that’s $9 a month, and it’s a version of this, but way more advanced than what we would. I just do in these little 15 minutes. I’ll give you bill like a boss, which is a very cool membership. We have a lifetime version that we will set up your EHR for you. We’ll get it all set up for you, and we’ll also work with you on systems. You get two hours of coaching around that piece with the lifetime version. And I do have payment plans available, but I definitely recommend where you are probably the lifetime version will be best for the bill, like a bots and my coaching links. I’ll give you my coaching link. I do like one offs too, instead of like packages, but I do have a package also, but I’ll give you my link. So you had that you want to reach out to me. I’ve got a free 15 minute slot to where we could talk about where you are and how I can help you. So just drop that too. Yeah, there’s my program. So let me know you have question. And like I said, if you guys watch us on the replay, let me know. Just reminder, this is sponsored by berries. Let me give you that to berries. Dot ICU slash therapist
and I have a coupon for that too, which is they had 50% off the first month. If you sign up for berries with my coupon code, coupon code 50 from Kim K, y m, will give you 50. It’s $50 off the first month that you sign up for. So I can save you somebody too. And Barry says 20 free sessions. And they have 10 free sessions every single month, so you’re not in a place where you can afford it. It’s a lifesaver. It’s going to save you a lot of time writing your notes. You just record in the background, and it writes it over you in two seconds. It’s amazing. So anyway, I hope that helps you guys. Let me know if you have questions, and I’m here if you need anything, and I hope you’ll see us in the AI club too, clinical AI club.com, it’s $9 a month. It’s super affordable. Okay, all right. Bye, everybody. You.
