103. My Top Three AI Tools Right Now; Wispr Flow, Littlebird, and Canva Connector in Claude Cowork

My Top Three AI Tools Right Now; Wispr Flow, Littlebird, and Canva Connector in Claude Cowork

There are a handful of tools quietly running my business in the background right now, and most of them I only started using in the last few weeks. If you are a therapist trying to figure out what is actually worth your time, the list gets noisy fast, so I narrowed it down to My Top Three AI Tools, the few that have actually stuck.

In this episode of Run Your Private Practice with AI, I walk you through the three tools I am geeking out on right now and how I use each one day to day. Some of it is simple time-saving stuff like dictation, and some of it is a full social media workflow that honestly kind of blows my mind.

AI Tips You Don’t Want to Miss:

  • How I use Wispr Flow to dictate into any text box on my computer, so I am not stuck typing all day.
  • The privacy setting that makes Wispr Flow HIPAA compliant with a BAA before you use it for anything client-related.
  • How Littlebird tracks what I am doing all day and sends me a morning report of what I finished and what I forgot.
  • How I connect Claude to Canva to build full carousels from my brand kit, then pick from the prototypes it creates for me.
  • The agentic workflow that takes a post from idea to research to Canva to Blotado and posts it for you.

[00:00:00] Hey, everybody. Welcome back to another episode of Run Your Private Practice with AI. So occasionally on these episodes, I like to just do updates of the latest tools that I’m using and cool things I’m figuring out in my business One tool that’s really changed everything for me is called Whisperflow. I don’t know if you guys have heard of this.

[00:00:19] It’s W-I-S-P-E-R-F-L-O, and you can download it on your desktop. I think they even have a phone version. I haven’t downloaded it yet, though. Basically, Whisperflow, you pick a hot button on your computer. So mine’s, like, the control button and the Windows button, ’cause I use a PC, and you hold it down, and you just dictate everything you’re trying to do.

[00:00:39] So this thing follows you around, and any app you’re in where you can type into a text box, you can use Whisperflow, and you can talk into it. So, they, like, keep stats, which I think is super fun. It’s sort of gamified. But I think I’ve spoken 57,000 words since I downloaded Whisperflow.

[00:00:58] And it goes… It just makes your whole day so much faster ’cause you don’t have to stop and type every single word, backspace if you misspelled. I don’t know. I’m a terrible typer, so it would take me a lot of time. But Whisperflow, literally, if you’re in a text box, you just hit your hot button on your keyboard, and you do it.

[00:01:17] And I find it’s particularly helpful for things like you know, vibe coding, right? If I’m building an app, or if I’m talking to Claude and I want Claude to do this particular thing, you just sort of talk it, and you explain it. It’s like, “No, I want this to go over here, and I need it to do this, and I want the dashboard to have this on it, and I need you to compare these two things.”

[00:01:36] So you just sort of talk into it, and it, it just saves so much time because you don’t have to, like, conceptualize what you’re gonna say. So I’ll put the link down below. Whisperflow is my number one right now, and it is HIPAA compliant with a BAA. So there’s a setting in there that you can go in, and I think it’s settings, privacy.

[00:01:55] Say I wanna sign the BAA. You do a little slider button, and then everything that you do is HIPAA compliant. So I mean, this could be anything, anything even you’re doing with clients, you can use it to make your life easier. If you’re not using Berries, which of course you should be using Berries , but if you’re not using Berries, I mean, you could go into your SimplePractice or whatever and just dictate, you know, part of your note or something like that.

[00:02:18] It would make it a lot easier than having to type your note out. But of course, use Berries. But I use Whisper- Whisperflow for literally everything else in my business writing emails, when I’m trying to dictate emails, I’ve been using it, like I said, vibe coding a couple apps that I’ve been building out, just, like, talking back and forth with Manus where I’m building it.

[00:02:38] What else have I used it for recently? Just literally anything. Any- anything that you’re, like, typing into, you can use Whisperflow. So I suggest that. Another cool new tool that I downloaded is Little Bird. I don’t know if you guys have heard about this. Now, this one does… I believe it does have a HIPAA setting.

[00:02:57] I don’t have it turned on ’cause I’m not doing it with any client information really. But what Little Bird does- Is it basically follows you around on your computer taking screenshots throughout the day. So I’m saying that, but you should turn it off if you’re gonna do it with your EHR. I wouldn’t do it with that ’cause I don’t…

[00:03:11] I’m not, I’m not sure about the HIPAA, but check it out. Maybe I’ll check it out after this and put it down in the link. But besides that, Little Bird, it follows you around, it takes screenshots of everything you’re doing, so you can set up these routines. If you’re like me, basically I’m in and out of different AIs all day long.

[00:03:29] So I’ve got Perplexity. I go do my newsletter with Perplexity, and then I go over to Claude and I’ve got it you know, doing my social media for me that day. Or I go to Manus and I’m working on an app that I’m vibe coding, or I go to ChatGPT because I wanted to do, like, some research on something I’m shopping or a trip that I’m planning, something like that.

[00:03:48] So what Little Bird does is it pays attention to where you are with everything that you’re doing. So if you’re, you know, I go to maybe do a Word doc or I go over to my email and do an email, I add a new thing to my calendar, this thing keeps track of you all day long, so you can set up routines with it.

[00:04:05] So every morning now it emails me and it’s basically like, you know, “Here’s everything you did yesterday. Here’s things you didn’t complete yesterday,” which is so helpful for my ADD brain. ‘Cause I’ll be, like, on this tab in a different browser, and then the next minute I’m on this other tab in another browser, and I’ve totally forgotten what I was doing.

[00:04:23] So it, it keeps track of it for me. It gives me a report, and then you can, like, consult it. So you can say, you know, what… I used it the other day. I was like, “I’m working on this thing. It’s, you know, I was sending an email to someone. There was a link involved. I cannot remember where it is. Find that for me ’cause I need the link.”

[00:04:41] And it’ll go and, like, research all of your history very quickly. It’ll come back and say, “Here’s the link, Kim. Here’s exactly what you were working on.” And it’s like life saver.

[00:04:50] Because I don’t know about the rest of you guys, but I cannot find things. My brain moves so fast, I just can’t figure out where I was, like, 10 minutes ago, and it really helps to be able to have this little thing tracking me and tell me what I’m up to. It’s even on my phone, so I can go consult it on my phone if I’m like, “God, what was that thing?

[00:05:07] I need to send a text message right now.” It’ll go find it for me and tell me back what it did. Now, the only thing I’m finding is sometimes it gets a little confused. I don’t know if that’s just because I’m all over the place or what. Like, it told me “Oh, you need to email Taryn back about this other topic,” and it was like, no, Taryn’s my podcast editor, and I would not be talking to her about this other topic.

[00:05:29] So I’ll, like, have to correct it a little bit. But it is getting smarter the more I’m using it. So I highly recommend Little Bird. But again, be super careful what you’re doing with your HIPAA compliant or your EHR if you’ve got it on, ’cause it’s literally accessing everything you’re doing on your screen to try to keep track of it.

[00:05:44] Okay. Another very cool hack I’m excited about, I haven’t ev- even really had enough time to play with this fully, so I’m just, like… I need a day where I have nothing else to do. So I’m trying to get caught up on all my work that’s already due. I’m also on, like, kind of vacation right now. I’m visiting my family back in Virginia for two weeks.

[00:06:06] My nephew’s graduating, and my other nephew had a birthday, so we’re doing all that.

[00:06:10] But in between there, of course, I’m always like, you know, like in the car, I’m watching videos around different cool AI things that are happening. So a very cool thing you can do… Now, I don’t know if you guys know this, but in Claude, you can go in, and it’s under connectors, so you can connect different tools that you use all the time.

[00:06:30] So if you’re listening to this, you’re a therapist, you’re trying to do social media, Claude can now connect to Canva. And it can execute. So if you just give it an idea, like here’s an idea for a carousel, right? If you guys have been listening to this at all, you know that I’ve got a social media set up where I have it you know, create 30 days of social media content for me based on creators that I follow and that sort of thing.

[00:06:54] But it’ll write a carousel for me. I’ll say like, “Give me a carousel post.” So now you could take that carousel, just copy and paste the words, like slide one, slide two, slide three, slide four, that Claude has already created for you, or whatever you use has already created for you. Plug it in to CoWork on your desktop and say, “I need a carousel for this.

[00:07:13] Go make it in my Canva.” Claude is so smart. It goes over, it pulls your brand guide. So, you know, in Canva, you can go in, you can set your brand guide, just so like your colors, your logo, any templates that you already have. Like if there’s certain templates you already like to use for social media, if there’s a font color that you use on your carousels or on your social media, you could plug all that into like the brand kit.

[00:07:39] It’s basically a brand kit in Canva. Claude takes the thing that you told it to do, it goes over, it looks for the best template for what you’re trying to do. It puts the words on it, so you do like a prompt that’s like, “Make sure it fits based on the template that you find.” Goes over, creates it. The other thing it does is it gives you like basically four prototypes.

[00:08:01] So it’s like, “Here’s the top four carousel choices that I picked. Which one do you like the best?” And it’s like, “Oh, I think I like this one.” You click it, it opens it up, you can look at it, you can see if you like it, that sort of thing. But you can literally say one, two, three, or four. It’ll take the one that you pick, it’ll go over, it’ll create a full carousel for you, and then it’s done.

[00:08:19] It’s created, like completely created. And then of course in Claude, you can say like, “Write the caption for this too. Make sure you include hashtags. Make sure it’s viral.” You know, that kind of thing. And then you’ve got your carousel. Now, I learned this from a woman named Sabrina Romanoff. If you guys are into AI at all, go follow her.

[00:08:39] She’s so awesome. But she created a program called Blotado. Now, I haven’t… This is the thing I haven’t gotten to do yet, but I’m just gonna put it here ’cause maybe I’ll try it and be able to report back to you all eventually. But Blotado then takes the carousel that has been put into Claude, takes it over to your social media, and literally posts it for you.

[00:09:01] So what you could do in CoWork, and she’s got a lot of prompts that you can go post, copy and post, and make your own. She’s like, “Steal my prompts, I don’t care.” Take it, put it into Claude CoWork. She uses code, I think Claude Code, but either way, you could put it in.

[00:09:16] Speaker 2: So it’s basically an agent now, right? So you can take… Cowork, based on this Sabrina Romanoff, go look her up on YouTube, she’s amazing, and program the agent to do these tasks for you every single day. So let’s say that part of what your social media is that you go into Reddit forums and you look at common themes, or you have Claude go in, which is much easier than doing it yourself.

[00:09:39] Pull, you know, ran- do a search in Reddit based on whatever your topic is. It pulls the conversations, it culminates it together and it says, “Oh, these would be great, these would be great for a social media post” based on your brand and all that, that Claude already knows. Tell it to run this, this is a routine.

[00:09:57] You schedule this. It runs that, it creates a, a reel for you that it thinks would be good based on your history with Claude and what you’ve trained it to do and how you want your post to be and that sort of thing. So you train it for all of that. Then you tell it, “After you go and find this, I want you to go over to Canva and I want you to create the content based on this criteria,” blah, blah, blah.

[00:10:17] And if you’re in the Clinical AI Club, I’m gonna teach you guys how to do this, so don’t worry. This is probably gonna be August content ’cause I’m so excited about it. So you tell it that, and then you say, “Okay, now that you’ve created it, I want to use the in- MCP connector to Blotado,” which is like $26 a month, and it connects to Blotado.

[00:10:37] Blotado knows all your social media accounts, and then it goes and automatically posts the reel that it created and the caption that it did for you, and it puts all of this on like, say, Instagram for you. Or let’s say LinkedIn’s your thing or whatever. You could set all that up on Blotado, or you could tell it to do it in different styles.

[00:10:54] “I want you to make one for Instagram. I want you to make one for you know, my LinkedIn. I want you to do one for YouTube Shorts or a YouTube video,” any of that. It goes over and creates it for you. Now, I’ve really been digging into this down the rabbit hole, and I’ve seen people also using…

[00:11:13] I’ve seen people also using, I guess it’s another video maker. Like, I’ve just seen that Gemini can do this now, make videos based on your likeness. So they’re connecting it all the way through. So it’s even generating AI videos, then putting it into Canva, then putting the caption on it, and then taking it from Canva and putting it over into Blotado.

[00:11:32] Blotado’s uploa- loading it onto your social media, and then you’ve got this full agentic workflow based on your training. I mean, obviously this is gonna take some training to do, but it starts from an idea that it researches on its own. It comes up with the idea, it takes it to Canva, it creates it, and then takes it somewhere else and schedules it and posts it for you.

[00:11:53] And if you want to, in the mix, you can put an AI-generated video that these other programs can do. All of this is possible through Claude Cowork. Now I would not probably schedule it. I would probably tell it to get it all ready to go so I could go look at it and make sure that it’s good, you know.

[00:12:09] Definitely that it’s good. But other than that, I mean, think… Let’s say it’s good, like, 20 times, and you don’t need to check it anymore. Social media agencies, we don’t need them anymore if this is the case. You know, hiring VAs to do social media for us. This is gonna save so much time and energy.

[00:12:26] It’s just, you’ve gotta perfect the workflow. And I would say go watch Sabrina Romanoff’s videos. She talks a lot about it. Another thing I got from her, I’m not even sure where I found it. Clinical AI club members, of course, I’m gonna give this to you when I do this module. She created a viral post writer and a viral post grader.

[00:12:46] So what this thing does agentically, and she’s got this into the same workflow, is basically it creates a post for you based on whatever content you tell it to pull from. Like, I tell mine to go from, like, my newsletter I did that week, go to my Facebook group, see what people are talking about, go pull from some of my favorite creators, pull that all together, and then I can make a post based on that but once you do that, she, she’s got…

[00:13:10] It writes the post for you based on all of that, that you’ve already done, and the skill that she created called the Viral Post Writer, but then she’s got a Viral Post Grader. So she created the grader based on, I mean, I think she’s had 250 million views on her social media content. So she took all the top performing content with the captions, the hooks, all of that, and she trained this skill that’s a grader.

[00:13:36] So what it does is anytime a post is created, the grader comes in after it and looks at it and continues to rerun it until it’s, like, an 8.5 or higher on her scale, her grading scale. And it will not give you a final output until it meets all the criteria in that 8.5 grade that it gives it. So this is probably a little confusing ’cause I haven’t even really sat down to do it myself, but this is, like, a whole process based on her content, and she’s amazing.

[00:14:04] She’s like, “Steal my content. I don’t care. Talk about it. You know, talk about me if you want to or don’t.” She’s like, “The skills I built for you, you can share them, you can make them your own, whatever you wanna do.” So Clinical AI Club members, she’s a genius. I’m gonna be passing this on to you probably in August with with this content, so I’m really excited about it.

[00:14:23] Okay? Now, if you have any questions, thoughts, reach out to me. I wanna hear. If you do a workflow like this, let me know, and I, I think it sounds complicated, but once I get it set up, I’ll probably come back and say, “This is the exact workflow how I’ve got it going,” ’cause it just blows my mind.

[00:14:38] Essentially, you know, unfortunately, it’s eliminating a lot of jobs for people ’cause we don’t need graphic designers if, you know, Claude can just go into Canva and do the stuff for us based on criteria that we set up or templates that we’ve already picked. Writing the post, if it’s based on somebody else’s viral content and 250 million views and graded you know, against that, we don’t really need copywriters anymore.

[00:15:03] People that schedule the stuff for us manually, we don’t need that anymore. We can have Claude do it through Blotado or something like that. So anyway, that’s what I’m geeking out on this week. Whisperflow, Little Bird, Claude Cowork with these NCP connectors through Blotado, Canva, and I’m trying to think of the other…

[00:15:22] I guess it’s the Google VEO for the videos. I have to check that out too, ’cause I don’t know how good those will be, but I’m gonna see. So anyway, that’s what’s going on in my world in AI. Let me know if you have any questions, and I’ll talk to you guys next week. Bye.
